Mercy Health Partners, a three-hospital healthcare system in northwest Ohio faced a storage emergency. Its storage supplier was raising the annual storage fee by 500 percent.

Mercy needed to go digital with medical records while retaining its paper records. Management faced several challenges, chiefly, 500,000 linear inches of files stored across seven sites.

The healthcare provider chose HIMentors, a health information management consulting firm, as the prime contractor. Among the subcontractors HIMentors chose: Central Business Group (CBG), a member of the nationwide Spacesaver Group.

The team built a Centralized Document Management Center (CDMC) by renovating a 15,000-square-foot former laundry building at one of Mercy’s campuses. Spacesaver HDMS systems became the heart of the facility.

Mercy saved 40 percent versus the cost for an off-site, turnkey document management vendor. It was able to merge its health information management staffs from the three hospitals without the need to increase staff, even though volume exceeded one million records. Former records storage areas were available for conversion to patient care functions. Warehouses used previously for medical records storage were positioned to be sold or converted for other uses.

Today, retrieval of records is faster and easier. All digital and paper records sit at one site. Information management employee morale is up. And, most importantly, Mercy is no longer at the mercy of voluminous records.
